ACCOMMODATION Booking Terms & Conditions
These booking terms and conditions apply to all holidays booked with OA Surf Club Limited (“we” or “us”), and all people named or booked for by the party leader(“you”).
“Our services” are those OA Surf Club provide directly, such as food and accommodation.
“The holiday” is our package of food & accommodation only.
YOUR HOLIDAY CONTRACT
The contract is made on the date we issue confirmation of your booking (via email) from which point on you are said to have booked. No contract or obligation exists between us and you before this date. Your booking of a holiday with us confirms you understand and accept all terms and conditions laid down in our “Booking Terms and Conditions”. We reserve the right to change our booking terms and conditions without notice. If you have already booked a holiday before any change you have the option to stay with the booking terms and conditions from your booking date. You will be notified in writing (email) of any proposed change and you must accept or refuse this within 28 days. If you make no contact, then it is taken as you have accepted the new booking terms and conditions.
A party leader making a booking takes responsibility for the whole party, including payment.
The below applies to bookings of our services only.
The deposit is 20% of the full holiday price. We will issue confirmation of your booking when the full deposit has been received and cleared. Only from the date of this confirmation does any contract or obligation exist between us and you.
The Final Balance is due 6 weeks before departure. If this is not paid, then the holiday is deemed to have been cancelled and your deposit forfeited. We reserve the right to re-sell the holiday without notice.
For bookings made within 6 weeks of your arrival the deposit and final balance are both due on booking.
If you do not make the payments by their due dates or do not arrive, your holiday will be cancelled without notice and all payments made will be retained. In such cases, we would make every effort to contact you and would only cancel without notice if we were unable to contact you.
ALTERATION OF THE HOLIDAY BY YOU
On a discretionary basis only, and where availability permits, it may be possible for you to change your dates of stay to any other week in the same season and change rooms booked prior to arrival. If the holiday price goes up because of your requested changes, you will be required to make up the difference in price. If the price goes down because of your requested changes, a refund of the difference remains at our discretion.
ALTERATION OR CANCELLATION BY US (NON-FORCE MAJEURE)
In the unlikely event we need to make a cancellation for reasons not classed as “force majeure” then we will offer you a full refund of all monies paid. If your holiday is cancelled by us, you will be notified of the cancellation in writing (e.g. via email).
In the case of us making a major alteration to your holiday, you may select either a full refund of all monies paid or the altered holiday offered by us. Change of dates of holiday or removal of exclusive use of Atlantic Court are classed as major alterations. All other alterations, including change of room, are classed as minor alterations and no offer of full refund is applicable. The refund of all monies paid is the full limit of our liability, we accept no liability for any other costs incurred to you, including charges for cancellation of your travel.
CANCELLATION BY US DUE TO FORCE MAJEURE
In the unlikely event that we are forced to cancel your holiday due to force majeure, you will be entitled to a full refund. Force majeure is unusual circumstances outside our control including, but not limited to, war, threat of war, terrorist action or threatened terrorist action, riots, industrial action, natural or nuclear disasters, fire, flooding or adverse weather conditions, epidemics and pandemics, closure of ports and airports or similar events. If your holiday is cancelled by us, you will be notified of the cancellation in writing by email.
If there are any Covid-19 related travel restrictions in place, you can get 100% voucher for everything you’ve paid us.
ACCEPTANCE OF RESPONSIBILITY BY YOU
We reserve the right to charge you for any damage to our property and for any unusual cleaning. We reserve the right to take a damage deposit prior to your arrival and any charges will be taken from this deposit.
Any behaviour deemed by us to be anti-social may result in the immediate termination of this contract and all services we provide to you. Group bookings are classed as one. No further obligation would be due to any member of a party, even if a non-offender, of a terminated contract.
Dogs may be allowed at our discretion; this must be approved prior to confirming the booking.
We will endeavour to have your room ready by 4pm on the day of your arrival. Your room must be vacated by 10am on the day of departure, regardless of the time of transfer. We will however provide space for the storage of baggage, should you either arrive before 4pm, or wish to leave after 10am .
In the event that you have reason to complain whilst on holiday with us, you should
immediately notify the Manager. By raising complaints early, they can often be dealt with quickly so the rest of the holiday can continue to your satisfaction. If you are still unhappy after your initial complaint, please inform us that any actions we have taken have not corrected the problem to your satisfaction. If you remain dissatisfied the party leader must write to us within 28 days of the end of the holiday giving full details of the complaint. For all complaints and claims which do not involve personal injury, illness or death, we cannot accept liability if you fail to notify the complaint or claim entirely in accordance with this clause.
SURF SCHOOL & COASTEERING Booking Terms & Conditions
When booking and participating in Surf Lessons, you are agreeing to the following terms and conditions:
- When booking a lesson full payment is required at the time of booking to confirm.
- Surf Lesson/Coasteering session times are occasionally subject to change depending upon tide and sea conditions, any changes will be notified as soon as possible in advance.
- Participants in surf lessons must be at least 8 years old and be water confident, due to the physical nature of the activity children may need to be accompanied by a parent/guardian in the water – we can provide a wetsuit for them to enter the water.
- Participants in Coasteering sessions must be 12 years old and be able to swim 50m, it is a physical activity and participants must be aware of this before entering the water.
- It is the responsibility of each individual to act responsibly and safely in respect of their own safety and that of others.
- OA Surf Club operates with a high level of health and safety management in place. However, as with all activities, outdoor and adventurous activities carry an inherent risk and can result in injury, permanent disability or even loss of life.
- Participants/Parents/Guardians are presumed to be aware of and except the inherent risks involved.
- OA Surf Club LTD, its Directors and staff, will not accept liability for personal injury or loss or damage of property sustained by participants.
- We strongly recommend you take out holiday insurance
- Any cancellations or changes to your booking must be made in writing and will only be accepted from the date they are received. Cancellations with less than a week to the date of activity will receive no refund.
MEDICAL CONDITIONS, MEDICATIONS AND SPECIAL NEEDS
You must notify the Centre when booking of any illnesses, injuries or medical conditions which may require special attention or could have personal health and safety implications. The Centre cannot be held responsible for any implications arising from the absence of such a disclosure
CHANGES TO INFORMATION
In the event of unsuitable weather or water conditions Outdoor Adventure may cancel the course. Should this occur any fees paid to Outdoor Adventure will be returned in full. Alternatively, we will accommodate you on another course at your discretion.
As with any business there are certain government guidelines that we have had to adopt to minimise the risk of transmission of Covid-19. These procedures have been worked out using the government’s guidance as well as guidance from Sport England, Surfing England and the National Coasteering Federation.
We will be monitoring any additional ongoing guidance from the government as well as taking feedback from our guests and staff.
To enable OA Surf Club to comply with government advice and to protect our clients and staff we politely ask you to follow the following guidance:
Covid-19 Refund Policy
We are taking bookings for 2021. If the government advice changes restricting travel, meaning that you are unable to travel to us and take part in your activity then a full refund will be issued (unless you want to reschedule your booking for a later date)
Our standard booking terms and conditions apply otherwise.
Before your Surf Lesson or Coasteering Session
All surf lessons must be booked and paid for online or on the phone- All participants must complete the booking form including their medical condition. Any Covid-19 related medical conditions must be included.
On Arrival For Your Surf Session
Please ensure you arrive 15 minutes before your session, please keep to our times to enable us to keep everyone apart. Please head to our trailer in Widemouth car park and there will be a roped area to ensure the appropriate distance is kept between yourselves and our staff. If you would like to use your own equipment that is fine but we will check that it is up to the job. You will be issued with a sterilised wetsuit and rash vest. All our wetsuits and rash vests will be cleaned/disinfected and dried after each session and will be rotated so there is a minimum of 24 hours between uses. Surfboards and leashes will be wiped down with antibacterial sanitiser.
If you, or a member of your household show any symptoms of Covid-19 you must not take part in a surf session or visit our surf school.
During Your Surf Lesson
Due to an update in the guidance from Surfing England we will now be operating our surf sessions with 8 clients to 1 instructor.
All safety briefings, on land coaching and demonstrations will be performed with a safe distance from participants.
As a group activity we require guests to make an effort to remain 1 metre plus away from each other during the surf session. We do understand that the sea is a fickle place, and the waves and currents can move you about. We do ask that you keep an eye on the instructor and fellow surfers and you move or paddle away at the first instance.
The instructor will work on a 2-metre guideline from the participants, they will ensure they are in the middle of the group – this will not impact on your experience and they will communicate clearly. If assistance is required, the instructor will be ready to help but contact will be kept to the minimum.
After Your Surf Session
We do ask that used wetsuits and rash vests are returned and placed on hangers into the buckets provided so that we can ensure they are cleaned properly. Surfboards should be placed in the designated area.
On Arrival For Coasteering
Please ensure you arrive 15 minutes before your session, please keep to our times to enable us to keep everyone apart. Please head to our coasteering van in Bossiney carpark and there will be a roped area to ensure the appropriate distance is kept between yourselves and our staff. If you would like to use your own equipment that is fine but we will check that it is up to the job. You will be issued with a sterilised wetsuit, bouyancy aid and helmet. All of our equipment will be cleaned/disinfected and dried after each session and will be rotated so there is a minimum of 24 hours between uses. If you, or a member of your household show any symptoms of Covid-19 you must not take part in a coasteering session or visit our coasteering operation at Bossiney.
During Your Coasteering Session
We will be operating on our normal group ratios and you will have 2 instructors with your group. All safety briefings, on land coaching and demonstrations, will be performed with a safe distance from participants.
As a group activity we require guests to make an effort to remain 1 metre plus away from each other during the coasteering session. We do understand that the sea is a fickle place and the waves and currents can move you about. We do ask that you keep an eye on the instructor and fellow coasteerers and you move or swim away at the first instance.
If possible the instructor will work on a 2 metre guideline from the participants, they will ensure they are at the front and the back of the group – this will not impact on your experience and they will communicate clearly. If assistance is required the instructor will be ready to help but contact will be kept to the minimum.
After Your Coasteering Session
We do ask that used wetsuits, bouyancy aids and helmets are returned and placed into the buckets provided so that we can ensure they are cleaned properly.
